RAPPAHANNOCK COMMUNITY COLLEGE
Interlibrary loan (ILL) services are provided for RCC students, faculty, staff and community patrons to request books and copies of journal articles from other libraries not available in the RCC Library collections.
HOW TO PLACE ILL REQUESTS:
Patrons must be registered and have an active library card with the college or be a registered student. You must have no outstanding fines or blocks with the library.

Forms are also available at the Library Service Desks at each campus. Phone requests will be accepted under certain circumstances.

REQUESTS MUST CONTAIN THE FOLLOWING INFORMATION:
· Name
· Address
· Telephone number
· Email address
· Complete information for the item(s) requested
COMPLETED INFORMATION ON THE ITEM(S) REQUESTED MAY BE IN THE FORM OF:
· ILL request form
· A printout of the item record from a database
· A sheet of paper with all information legibly written
THE INFORMATION FOR A BOOK MUST INCLUDE:
· Author name
· Title
· Publisher and year of publication, if available
· ISBN (if available)
Because of demand, books published in the current year may be difficult to borrow. Renewals must be placed with the ILL Office at least THREE days prior to the due date. Some items may not be renewable.
FOR A JOURNAL THE COMPLETE CITATION INCLUDES:
· Article title
· Journal/magazine title
· Date of publication
· Page number(s) of article
· Volume and number of journal/magazine
· ISSN if available
Incomplete citations may be returned unfilled. Patrons will be notified of incomplete requests such as requests for items already in the RCC catalog, or requests for items not filled.
Sufficient time must be allowed for the request to be processed. The average turn around time is two weeks, but RCC Library Services cannot guarantee delivery by a specified date.
WHAT MATERIALS MAY BE REQUESTED:
· Items not owned by the RCC Library
· Items owned by the RCC Library that are declared lost or missing
· Items being repaired
· Theses/dissertations from other colleges and universities
· Items not accessible through NetLibrary
WHAT MATERIALS MAY NOT BE REQUESTED:
· Textbooks
· Materials that are owned by the RCC Library that can be found in the Reference Department, Special Collections, Archives, or on Reserve
· Items that are charged out to another patron. A recall or a hold must be placed for these items at the Circulation Desk
· Entire issues or volumes of journals
THE FOLLOWING MATERIALS ARE DIFFICULT TO OBTAIN THOUGH INTERLIBRARY LOAN:
· Reference books
· Materials in high demand
· Fragile material
· Audio-visual materials
· Computer software

Interlibrary loan requests are processed as quickly as possible. The time needed to obtain an item is dependent upon the difficulty of the request, proximity to the lending library, and the number of requests to be processed.
HOW TO RECEIVE REQUESTED ILL’S:
When requested items are received, patrons will be notified by phone or e-mail when requested item arrives at the library. These items may be picked up at the Library Service Desk at the campus you asked for the material.:
Monday-Thursday 8:30 AM - 8:30 PM
Friday 8:30 AM - 3:00 PM
Saturday 9:00 AM - 2:00 PM
If the item is not picked up after five business days, the patron will be notified that the item will be returned to the lending library if it is not picked up within the next three business days.
DUE DATES AND RENEWALS:
Books
· Interlibrary loan books are on loan for the time period specified by the lending library. Due dates are clearly marked on the book wrapper. The lending library may also specify the type of usage and the status of renewals.
Photocopies
· Photocopies of periodical articles become the property of the patron.
CHARGES AND FINES FOR DELINQUENT ACTS:
RCC libraries will make every effort to borrow materials from libraries that do not charge a fee. In the event that the material is only available from a library that charges a fee, the patron will be notified of the cost, and the patron will have the option of withdrawing the request. The patron will be responsible for payment of all fees incurred and such fees must be paid at the time of pickup.
The patron is responsible for any replacement charges assessed by the lending library of interlibrary loan materials that are damaged or lost.
Fines for late, damaged, or lost materials will be charged as follows:
Overdue fees $1.00 per day
Lost/damaged fees $60.00 minimum
VIOLATION OF INTERLIBRARY LOAN PRIVILEGES:
· Should a patron disregard the Interlibrary Loan Policies, his/her interlibrary loan privileges may be withdrawn. Some action which may result in suspension of privileges include failure to pick up requested materials, failure to return books on time, failure to pay handling fees or charges, and failure to return books in borrowed condition.
